Complete terms governing Quad Raffle 2025

Effective Date: January 1, 2025

These Official Rules govern participation in Quad Raffle 2025 (the "Raffle"), operated by Quad Riders ATV Association of British Columbia. By purchasing a ticket, you agree to be bound by these rules.

1. Raffle Operator

This Raffle is conducted by Quad Riders ATV Association, a registered non-profit organization operating under BC Gaming License #164166 issued by the Gaming Policy and Enforcement Branch of British Columbia.

2. Eligibility Requirements

2.1 Participation is restricted to individuals who meet ALL of the following criteria:

  • 19 years of age or older at time of ticket purchase
  • Legal resident of British Columbia, Canada
  • Able to provide valid government-issued photo identification
  • Not an employee, officer, or director of Quad Riders ATV Association
  • Not an immediate family member of association employees, officers, or directors

2.2 "Immediate family member" includes spouse, parent, child, sibling, grandparent, and grandchild.

2.3 Verification of eligibility may be required at any time during or after the Raffle period.

3. Raffle Period

3.1 Tickets are available for purchase from January 1, 2025 at 12:00 AM PST through December 11, 2025 at 11:59 PM PST, or until all 1,000 tickets are sold, whichever occurs first.

3.2 The official draw will take place on December 12, 2025 at 3:00 PM PST at Greater Vancouver Powersports, 9517 200th Street, Langley, British Columbia.

3.3 The draw date may be postponed only in case of emergency or circumstances beyond reasonable control. Any changes will be communicated to all ticket purchasers.

4. Ticket Purchase

4.1 Price: Individual tickets are priced at $20.00 CAD each.

4.2 Purchase Limits: No maximum limit on tickets per person. Each ticket represents one entry into the draw.

4.3 Payment Methods: Accepted payment methods include Visa, Mastercard, American Express, and Interac e-Transfer.

4.4 Confirmation: Upon successful purchase, buyers will receive email confirmation containing unique ticket numbers and receipt.

4.5 Non-Refundable: All ticket sales are final. Tickets are non-refundable and non-transferable except as required by law.

4.6 Gift Purchases: Tickets may be purchased as gifts. The designated recipient must meet all eligibility requirements and provide identification to claim any prize.

5. Prizes

5.1 Four (4) prizes will be awarded with the following approximate retail values:

Grand Prize: Ultimate ATV Package - $5,500 value
Second Prize: Pro Rider Gear Collection - $2,800 value
Third Prize: Workshop Essentials - $1,900 value
Fourth Prize: Adventure Camping Bundle - $1,590 value

5.2 Substitutions: Specific prize components may be substituted with items of equal or greater value if original items become unavailable.

5.3 As Awarded: Prizes must be accepted as awarded. No cash alternatives, transfers, or substitutions permitted except at sole discretion of the operator.

5.4 Taxes: Winners are solely responsible for all applicable federal, provincial, and local taxes related to prize acceptance. Tax documentation will be provided as required by law.

6. Draw Procedures

6.1 Method: Winners will be selected using a certified random number generator system under independent third-party supervision.

6.2 Selection Order: Four winners will be drawn sequentially, one for each prize in descending value order (Grand Prize first, Fourth Prize last).

6.3 One Prize Per Person: Once a ticket number is drawn, that ticket holder is removed from all subsequent draws, ensuring four different winners.

6.4 Public Event: The draw is open to the public. All participants are welcome to attend.

6.5 Independent Oversight: The draw will be supervised by an independent official to ensure fairness and compliance with BC Gaming regulations.

6.6 Odds: Odds of winning depend on total tickets sold. Maximum odds: 1 in 250 (assuming all 1,000 tickets are sold).

7. Winner Notification

7.1 Contact Method: Winners will be notified within 24 hours of the draw via telephone and email using contact information provided at ticket purchase.

7.2 Multiple Attempts: A minimum of three contact attempts will be made over a seven (7) day period.

7.3 Response Requirement: Winners must respond within seven (7) days of initial contact attempt to confirm prize acceptance.

7.4 Alternate Winners: Failure to respond within the specified timeframe will result in forfeiture, and an alternate winner will be selected.

7.5 Public Announcement: Winner names (first name and last initial) will be posted on the Raffle website and social media channels.

8. Prize Claim Process

8.1 Claim Period: Winners have thirty (30) days from the draw date to claim their prize.

8.2 Required Documentation:

  • Valid government-issued photo identification (driver's license or passport)
  • Proof of British Columbia residency
  • Original or printed ticket confirmation email
  • Signed winner's declaration and release form
  • Signed publicity consent (as permitted by law)

8.3 Verification: All documentation will be verified before prize release. False information results in immediate disqualification.

8.4 Prize Collection: Prizes may be collected at Greater Vancouver Powersports in Langley, BC during regular business hours. Shipping available at winner's expense and risk.

8.5 Forfeiture: Unclaimed prizes will be forfeited after 30 days and may be awarded to alternate winners or retained by the organization.

9. Publicity Release

9.1 By accepting a prize, winners consent to the use of their name, photograph, voice, and likeness for promotional and publicity purposes by Quad Riders ATV Association without additional compensation, except where prohibited by law.

9.2 Winners may be requested to participate in promotional activities including photographs and interviews.

10. Limitation of Liability

10.1 Quad Riders ATV Association and its officers, directors, employees, and agents are not responsible for:

  • Lost, late, incomplete, stolen, misdirected, or illegible ticket purchases
  • Technical malfunctions of any kind including website, computer, or network failures
  • Unauthorized human intervention in any part of the entry process
  • Electronic or human errors in administration of the Raffle
  • Injury or damage caused by participation or prize acceptance

10.2 Assumption of Risk: Winners assume all liability for any injury, loss, or damage arising from prize acceptance and use.

10.3 Maximum Liability: Total liability shall not exceed the retail value of the applicable prize.

11. General Conditions

11.1 Right to Cancel: We reserve the right to cancel, suspend, or modify the Raffle if fraud, technical failures, or any other factor impairs the integrity or proper functioning of the Raffle.

11.2 Disqualification: We reserve the right to disqualify any individual found to be:

  • Tampering with the entry process or operation of the Raffle
  • Acting in violation of these Official Rules
  • Acting in an unsportsmanlike or disruptive manner
  • Providing false information

11.3 Final Decisions: All decisions made by Quad Riders ATV Association regarding this Raffle are final and binding.

11.4 Compliance: This Raffle is subject to all applicable federal, provincial, and municipal laws and regulations.

12. Privacy

12.1 Personal information collected during ticket purchase will be used solely for Raffle administration and in accordance with our Privacy Policy.

12.2 By participating, entrants consent to the collection, use, and disclosure of their personal information as described in our Privacy Policy.

12.3 Personal information will not be sold or shared with third parties except as required for Raffle administration or by law.

13. Dispute Resolution

13.1 Governing Law: These Official Rules shall be governed by and construed in accordance with the laws of British Columbia and the federal laws of Canada applicable therein.

13.2 Jurisdiction: Any disputes shall be resolved exclusively in the courts of British Columbia.

13.3 Severability: If any provision is found invalid or unenforceable, the remaining provisions shall continue in full force and effect.

14. Gaming License

14.1 This Raffle operates under BC Gaming Event License #164166 issued by the Gaming Policy and Enforcement Branch of British Columbia.

14.2 License verification available at: gaming.gov.bc.ca

14.3 All proceeds support the charitable programs of Quad Riders ATV Association, including trail maintenance, rider education, and community development initiatives.
